Scheduling Subcontracting operations

Hi All,

I couple weeks ago I posted a message regarding the way the system schedules
subcontracting work - basically the fact that is does not taken into account
when a subcontract operation has already started. I finally was able to
speak Epicor support about this issue and it turns out that there is already
an enhancement request and an SCR created for this (see below). So, just
wanted to let you all know and if anyone else has this issue, please add
your name to it so it will get prioritized.

Thanks,
Sarah

1. Production management -> job management -> GO -> job entry
Add a job for any part, and any quantity.
Make sure the required by date is today.
2. Add a subcontract operation to the job.
Any vendor.
Make sure the days out is 10 days.
3. Release and schedule the job.
Note that the start date of the subcontract operation is 10 days before
today.
4. Materials management -> Shipping / receiving -> GO ->
Subcontractor shipment entry.
Ship the subcontract operation.
5. Production management -> scheduling -> GO -> Global finite
scheduling
Schedule start date is tomorrow. Schedule
6. Production management -> job management -> GO -> job tracker
Select the job and view the subcontract operation details
Note that the start date of the operation is tomorrow.
It is not possible to move the operation because the parts are already
shipped and will be returned in 10 days.

Development response
==================

SCR 7943

Since at least Vantage 5.00, Global Finite Scheduler code (es/esp10-bu.p and
es/esp10-cm.p) has considered an operation to be started if it has any labor
activity. But subcontract operations never have this. For subcontract
operations, if the Global Reschedule Started Operations is checked in Job
Management Configuration, the operation should not be changed if it has any
related part transactions (PartTran records).
Does anyobyd understand how the system scheduled subcontracting work?
Here's the situation: we are forward scheduling a job that have 5
operations. The 1st operation was completed on 3/15. the 2nd operation is
a subcontract operation and was sent out to vendor on 3/15 with days out of
51 days. When we run vantage schedule, it is showing this job as late and
showing it as being sent out today and coming back 51 days from today. I do
not know how to tell it we already sent this out on 3.15? Thanks for any
help!
Hi Sarah,

Did you do an actual Subcontractor Shipment?

Thanks for responding. No we didn't do sub shipment b/c we don't actually
ship them anything, they purchase the material themselves.

I am not sure what to say.

I checked some of ours and they look OK,
but we always do a Subcontractor Shipment.

Maybe Scheduling doesn't update only from
the first operation being completed?

That's pretty much how it works.
Are you doing load leveling or something? Why the reschedule?

You may be able to use the "Lock" check box on the job which keeps it from
being rescheduled by load leveling, etc... Pending what version of vantage
your running and what your trying to accomplish by rescheduling.

Otherwise if your manually forward scheduling each job you could do this
thru the schedule board and use the "Branch - Subsequent Operations Only"

We global reschedule every day because new jobs are added with shorter lead
times, estimates are off, etc...

But we need our subcontracting to know when it was issued (PO date or sub
pack slip date) and use the lead time from there... does anybody else have
this set-up so that he subcontracting works correctly? I am so confused...

Would checking to LOCK check box on the job after it was scheduled for the
first time work?
This would allow Global Finite Scheduling to reschedule the newly added
jobs.
You may need a procedure like when the PO is created the goto job entry and
lock the schedule.

Thanks, I'll try doing that, but I was hoping the system would be able to
tell somehow (from sub p/s or PO date or prior op complete date) when
subcontracting started. I'll try tech support and see what they say, I'll
let you guys know if I learn anything new... thanks for all the feedback - I
really appreciate it!

I'm not sure you really want the PO date to be the trigger, we sometimes
send orders early to notify of pending work arrival or to activate tooling
or process design for new jobs.

Would checking to LOCK check box on the job after it was scheduled for the
first time work?
This would allow Global Finite Scheduling to reschedule the newly added
jobs.
You may need a procedure like when the PO is created the goto job entry and
lock the schedule.

We global reschedule every day because new jobs are added with shorter lead

But we need our subcontracting to know when it was issued (PO date or sub

this set-up so that he subcontracting works correctly? I am so confused...

Does anyobyd understand how the system scheduled subcontracting work?
Here's the situation: we are forward scheduling a job that have 5
operations. The 1st operation was completed on 3/15. the 2nd operation is
a subcontract operation and was sent out to vendor on 3/15 with days out of
51 days. When we run vantage schedule, it is showing this job as late and
showing it as being sent out today and coming back 51 days from today. I do
not know how to tell it we already sent this out on 3.15? Thanks for any
help!

I have the answer to this question. Although it may not be what you
want to hear. We do the exact same thing as Sarah, and have the same
issue.

No, there is no way for the PO or Subcontract Shipment to link with
the schedule. Everytime you reschedule it will add 51 days to today,
unless, like the posts suggest, you lock it. We find ourselves
locking every job that goes to outside processing as we ship them out,
and unlocking when they get back.

It is absurd, and Epicor has made no attempt to add this.

Hope the locking helps!

I can't because my boss wants anything where we have someone else do work
that we *could* do ourselves set-up as subcontracting for business
evaluation purposes. Also, we have several cases where we do send them the
material via sub packing slips and the same problem with those so that is
not the limitation.

Thanks. That is so horrible. My boss is going to freak. We have parts
with many subassemblies, each of which can have subcontracting happen at all
different times, and we don't want to have to lock and unlock our schedule
each time. I really think the sub shipment or prior op complete should
drive this. Has anyone already put in an enhancement request that I can add
myself to? If not, I will add one and send out the number for you guys to
add to!

Thanks!!

ya, it should be a material for the job w/ 51 days lead-time, tag it to the
first machining operation, work does not start until material is received.

those of you who us this more that we do, how does the scheduling system
handle that?

Sarah - I think you said earlier that the subcontractor is supplying the
material. If you aren't actually sending them anything, can you change it
from a subcontract to a purchased finished part?

We only issue an actual po's when work is ready so that would work for us.
But, at this point we would take anything!

I'm not sure you really want the PO date to be the trigger, we sometimes
send orders early to notify of pending work arrival or to activate tooling
or process design for new jobs.

Okey doke, here is how we do it:

Create Job
Lock quantity to shut off suggestions regarding qantity.
Do not lock date, because we want to be prompted when Job might be late.
Schedule the Job individually.
Never, ever on pain of death and dismemberment, run Global Scheduling.

(I made up the part about dismemberment.)

Would checking to LOCK check box on the job after it was scheduled for the
first time work?
This would allow Global Finite Scheduling to reschedule the newly added
jobs.
You may need a procedure like when the PO is created the goto job entry and
lock the schedule.

Does anyobyd understand how the system scheduled subcontracting work?
Here's the situation: we are forward scheduling a job that have 5
operations. The 1st operation was completed on 3/15. the 2nd operation is
a subcontract operation and was sent out to vendor on 3/15 with days out of
51 days. When we run vantage schedule, it is showing this job as late and

not know how to tell it we already sent this out on 3.15? Thanks for any

Thanks, but I don't understand. If you don't global schedule how do you
know if you will have the resources to meet each jobs schedule? From what I
understand, scheduling jobs individually will schedule that job as if
nothing else was running in the shop, so it might give you a schedule you
couldn't really hit b/c of all your other jobs? (Can you tell we are just
starting to use scheduling)

Thanks, but I don't understand. If you don't global schedule how do you
know if you will have the resources to meet each jobs schedule? From what I
understand, scheduling jobs individually will schedule that job as if
nothing else was running in the shop, so it might give you a schedule you
couldn't really hit b/c of all your other jobs? (Can you tell we are just
starting to use scheduling)

Okey doke, here is how we do it:

Create Job
Lock quantity to shut off suggestions regarding qantity.
Do not lock date, because we want to be prompted when Job might be late.
Schedule the Job individually.
Never, ever on pain of death and dismemberment, run Global Scheduling.

(I made up the part about dismemberment.)

We only issue an actual po's when work is ready so that would work for us.
But, at this point we would take anything!

I'm not sure you really want the PO date to be the trigger, we sometimes
send orders early to notify of pending work arrival or to activate tooling
or process design for new jobs.

subcontracting started. I'll try tech support and see what they say, I'll
let you guys know if I learn anything new... thanks for all the feedback - I

But we need our subcontracting to know when it was issued (PO date or sub
pack slip date) and use the lead time from there... does anybody else have
this set-up so that he subcontracting works correctly? I am so confused...

Does anyobyd understand how the system scheduled subcontracting work?
Here's the situation: we are forward scheduling a job that have 5
operations. The 1st operation was completed on 3/15. the 2nd operation is
a subcontract operation and was sent out to vendor on 3/15 with days out of
51 days. When we run vantage schedule, it is showing this job as late and
showing it as being sent out today and coming back 51 days from today. I do
not know how to tell it we already sent this out on 3.15? Thanks for any
help!

I guess we get lucky because we have such
good Production Foremen.

All the Priority Dispatch Reports show the
Jobs in due date sequence, and for each Job,
the estimated elapsed time is shown.

When a Job causes a conflict at a Workcenter,
the Foremen know to change the routing for one
or another of the Jobs in order to make it all
fit.

We almost always have more than one asset able
to perform a particular operation, so it all
works out.

Early on we tried using the Global Scheduling,
but we had so many changes and suggestions
happening that we gave it up. It was just making
people nuts. So, rather than move a cot and a hot
plate in next to my desk, we went back to scheduling
Jobs one at a time.

Some statistics on our operation:

75 - 100 new jobs each day.

2 - 5 operations each job.

2/3 of the Jobs have a Flow Time of 48 hours or less.

Approximately 80 Workcenters and 8 or 10 subcontractors.

Almost every day we run parts for one of our customers
on an emergency basis because another vendor has missed
shipment, so we have that kind of thing going on.

In 2004 we probably had to do express shipping 3
or 4 times (across 26,000 lots or so) so our on time
performance is very good.

I think the key for us is that the Production Foremen
are so involved in moving the product through the plant
and that we have more than one way to make the parts.
